Umajin 3.1 released with a powerful new feature: multi-user editing. Multi-user allows multiple people to work simultaneously on the same Project. Any time a member of the Project team makes a change to properties or behavior it is synchronized over the server and can be viewed in real-time by all the other members.
Users can be on different platforms, e.g. Windows or MacOS. They can also preview from both Android and iOS devices.
There is no user limit. Users who are currently logged into a Project session are identified in a list at the top right corner of the Umajin Editor.
Guest Editors
This feature is a way of inviting users to contribute to a specific Project who are outside your structured organization. They may be external to your department, or perhaps completely external to your organization e.g. a designer from a separate design agency.
To invite a new user, go to the File Menu, then go to the Project Settings Screen. At the bottom of the Properties Inspector is the option to invite new Guest Editors.
Organizational Group
If you are a member of an Organizational Group, then multi-user mode will work by default. This means that all members of your organizational group are automatically able to work collaboratively on Projects that are saved into the common work group folder. There is no need to invite members of your organization to the project, but you will still need to invite any external contributors. They will only have access to the specific project you invite them to, not the common work group folder.
Group comments
Comments on specific pages can be made in a comments window. This is a useful way of sharing comments or notes about the changes or work to be completed on that particular page.
Mobile Editor
Members of the multi user session can also login to the Mobile Editor. This allows users to preview the Project on device. Users can also make comments on the Project and specifically to each separate Page in the Project.
General Rules and Recommendations
- Umajin multi-user creates a collaborative working environment. Good communication and coordination between team members is essential. It is useful for team members to have agreed what roles they are taking within the project and which pages or content they are responsible for.
- A multi-user session should be treated as a production environment. Any changes made to the project become part of the shared multi-user session – even if the user that made the changes doesn’t save at the end of their session, any other team member who does, will then incorporate those modifications, for better or worse!
- Only ONE user can edit a page in a multi-user session at once. Ownership of the page is given to the first person to select it. This is shown by a page icon beside that user’s profile icon. Other users are locked out of editing this page. They can, however, stay and watch as modifications are made by the owner. The intention is for each user to own and work on separate Pages/Masters/Foregrounds within the Project.
- If any user adds any new files, images, media or JavaScript to the project, they must save before those files become visible and available to the other users. Until you have saved the files are only available locally on your device. Once you save, the system manages the synchronization of those files with the Umajin Cloud and other users.
- A user viewing the project in “Play” mode won’t see any live changes made in the multi-user session until they return to “Edit” mode.
- Remember, if you save – you are in effect saving for the whole multi-user group.
- If you leave without saving, other members still have the opportunity to save and keep your changes. In fact, you can’t really discard any changes you have made unless you are the last person within the multi-user session.
- Only one user can save a Project at any given time.
- The option to discard changes is controlled by the last user in a session.
- Page comments can be made in the comments panel. This enables users to share notes about changes or work to be completed.
- You can only make comments in Edit mode. (not in Play mode)
- One user at a time can make changes to Project Settings and Style Settings.
- The Editor records the saved history of each Project but it only enables a user to view prior history of the project, not make changes. In Umajin Editor, File/Open and the History dropdown is to the far right of the Project List panel.
